How to Let Customers Book a Diamond Viewing Online

Why the highest-value diamond sales still close in person, and how to add online appointment booking to a WordPress jewellery site — real time slots, Google Calendar sync, no double-bookings.

A shopper can browse thousands of diamonds on your website at midnight. But a £6,000 engagement ring is rarely bought on the spot from a phone — for a purchase that size, people want to sit down, see the stone, and talk to someone who knows what they're looking at. The website's job is not always to close the sale. Often it is to book the appointment where the sale closes.

An online diamond catalogue captures interest. An online booking captures the person — turning an anonymous 2 a.m. browser into a named consultation in your diary.

The gap between "browsing" and "buying" a diamond

High-value jewellery sits in an awkward spot online. The customer is happy to research on the web, but hesitant to complete a four- or five-figure purchase without a human. If your site only lets them look, one of two things happens at the moment they're most interested:

  • They email or phone — if they can find how, and if it's during your hours.
  • They close the tab, meaning to "come back later", and don't.

Both leak the exact lead you most want: someone ready to talk. A booking form closes that gap. At the peak of interest — right after they've built a ring or shortlisted a stone — they pick a date and time, and it lands in your calendar. No phone tag, no waiting for opening hours.

What "book a diamond consultation online" should actually do

A booking tool for jewellery is not a generic calendar widget. To be worth putting in front of a serious buyer, it needs to behave like a real appointment book:

  1. Real, available time slots — not a free-text date. The customer picks from slots you actually offer (say 10:00, 10:30, 11:00) on days you're actually open, so you never get "next Tuesday at midnight".
  2. No double-bookings. When a slot is taken — by another customer or by something already on your calendar — it disappears from the form. Two people clicking the same slot at the same time can't both succeed.
  3. It reaches your real calendar. The appointment should appear on the Google Calendar your team already lives in, not in some separate dashboard nobody checks.
  4. Confirmations and reminders, automatically. The customer gets a confirmation immediately and a reminder before the day, which is what actually cuts no-shows.
  5. Spam protection. A public form on a jewellery site attracts bots; it needs a filter that stops them without making a real customer solve a puzzle.

How to add it in WordPress without a second plugin to license

Be honest about what it isn't

So you can plan around it, the addon deliberately does not (in v1.0):

  • Take a deposit or payment at the booking step. If you want paid bookings, link to a WooCommerce product with a deposit plugin.
  • Run multiple staff diaries on one page — one booking page maps to one calendar. For two specialists, create two pages, each on its own calendar.
  • Offer customer self-cancel links or SMS reminders yet — both are on the v1.1 roadmap. Today, cancellations come by email and reminders by email.

None of these block the core job — getting a qualified customer booked in — but it's better you know before you build the page.

Do I need a separate plugin or licence for bookings?

Will appointments show up in my normal calendar?

Yes. Bookings sync to a Google Calendar you nominate, and events already on that calendar block their slot in the public form, so you can't be double-booked.

How does it stop no-shows?

The customer gets an automatic confirmation on booking and a reminder email a set number of hours before the appointment (default 24). Clear expectations up front and a timely reminder are the two things that most reduce no-shows.

Can customers book a specific diamond viewing?

Yes — the form builder lets you add your own fields, so you can capture the stone or ring reference they're interested in and have it waiting when they arrive.
